Connecting a Personal Mailbox

You connect a personal mailbox from the My Mailboxes screen in the profile menu, then choose either Google (OAuth) for Gmail and Google Workspace or IMAP/SMTP for any other provider. Google accounts authorize in a secure popup, while IMAP and SMTP mailboxes use the host, port, encryption, username, and password from your provider. Once connected, ISO Mate syncs your folders and messages so you can read and send mail without leaving the platform.

Where personal mailboxes live

Open the profile menu (the person icon) in the top toolbar and choose My Mailboxes. This screen lists every personal mailbox you have connected, along with its provider, status, and last sync time. Personal mailboxes are private to you, which is what separates them from a team inbox. To add one, select the Add Mailbox button.

Connect a Gmail or Google Workspace account

Google accounts use OAuth, so you never type your password into ISO Mate. The connection is authorized entirely on Google.

  1. Open the profile menu, then choose My Mailboxes.
  2. Select Add Mailbox.
  3. Set the Provider field to Google (OAuth).
  4. Select Connect Google Account.
  5. Sign in to Google and grant access in the popup. ISO Mate returns to My Mailboxes and begins an initial sync.

The display name and email address come directly from Google, so you do not fill them in yourself.

Connect a custom server with IMAP and SMTP

For Outlook, Yahoo, or a company mail server, use the IMAP/SMTP provider. IMAP handles receiving and SMTP handles sending, so both sets of settings are required.

  1. Select Add Mailbox, then set the Provider field to IMAP/SMTP.
  2. Enter a Display Name and Email Address.
  3. Under IMAP Settings, enter the host, port, encryption (SSL, TLS, or None), username, and password.
  4. Under SMTP Settings, enter the host, port, encryption, username, and password.
  5. Save with the Add Mailbox button.

The setup screen lists common values as a reference, for example Gmail on imap.gmail.com port 993 (SSL) and smtp.gmail.com port 587 (TLS). Many providers require an app password rather than your normal login password when two-factor authentication is turned on.

Test the connection

After you save an IMAP/SMTP mailbox, open it again and select Test Connection to confirm the credentials work. From the My Mailboxes list you can then run Quick Sync for recent messages or Full Sync to pull the complete history.

Manage a connected mailbox

From My Mailboxes you can edit settings, test the connection, sync, or delete a mailbox. If a Google mailbox shows a status of Requires Reauthorization, open it and select Reauthorize Google Account. An active toggle lets you pause a mailbox, and inactive mailboxes stop syncing until you switch them back on.
