Using the AI Policy Editor

AI Policy Editor Overview

The AI Policy Editor is built directly into the compliance policy editor. It helps you generate complete policy templates from a topic description and refine existing policy content with quick actions or custom instructions.

Accessing the AI Policy Editor

  1. Navigate to Compliance > Policies and open a policy for editing (or create a new one).
  2. In the editor toolbar, click the sparkle icon to open the AI panel.
  3. The panel appears with two tabs: Generate and Refine.

Generate Tab: Creating Policy Templates

Use the Generate tab to create a complete policy document from scratch:

  1. Switch to the Generate tab in the AI panel.
  2. Enter a topic or compliance area in the input field (e.g., “Data Retention Policy”, “Acceptable Use Policy”, “Incident Response Procedures”).
  3. Click Generate. The AI creates a full policy template with sections covering purpose, scope, responsibilities, procedures, and compliance requirements.
  4. The generated content streams in real time so you can watch it being composed.
  5. Review the preview and choose how to apply it.

Refine Tab: Improving Existing Content

Use the Refine tab to improve policy text you have already written:

  1. Switch to the Refine tab in the AI panel.
  2. Choose a quick action or enter custom instructions.

Quick Actions:

  • Shorter: Condenses the content while preserving key points.
  • More Detail: Expands sections with additional context and specifics.
  • More Formal: Adjusts the tone to be more professional and authoritative.
  • Simplify: Rewrites complex language into clearer, more accessible terms.
  • Fix Grammar: Corrects grammatical errors and improves sentence structure.

Custom Instructions:

For more specific refinements, type your own instructions in the text field. For example: “Add a section about data classification levels” or “Make the responsibilities section more specific to our engineering team”.

Preview, Insert, and Replace Workflow

Both Generate and Refine follow the same workflow after content is produced:

  1. Preview: The AI-generated content appears in a preview area within the panel. Review it carefully before applying.
  2. Insert: Click Insert to add the content at your current cursor position. Your existing document text is preserved.
  3. Replace All: Click Replace All to replace the entire document content with the generated text. Use this when starting fresh or when the AI output is a complete replacement.
  4. Regenerate: If the result is not what you need, adjust your input and generate again.

Tips for Effective Use

  • Be specific with topics: “Information Security Policy for Remote Workers” produces better results than just “security policy”.
  • Use Refine iteratively: Apply multiple refinements in sequence. For example, first use “More Detail” to expand, then “More Formal” to adjust the tone.
  • Combine Generate and Refine: Generate a template first, then use Refine to customize it for your organization.
  • Review before replacing: Always preview generated content before using Replace All, as it overwrites your existing work.
  • Include context in custom instructions: Mention your industry, team size, or specific regulations for more relevant output.

Permission Requirements

To use the AI Policy Editor, you need:

  • The Compliance AI: Generate permission for generating templates and completing sections.
  • The Compliance AI: Search permission for searching existing policies via AI.
  • The AI feature must be enabled for your account by an administrator.
