Starting from a Workflow Template

A workflow template is a pre-built automation you can instantiate and adapt, which is the fastest way to start. When templates are enabled, you open the Template Gallery from the workflows list, pick a template, map any account-specific settings, and create a ready-to-review workflow with its full action tree, schedule, trigger configuration, and other settings intact.

Browse the Template Gallery

  1. Open the Workflow Builder from the Settings gear menu in the top toolbar.
  2. Select Browse Templates to open the Template Gallery.
  3. Search by name or description, or filter by category, to find a fit.
  4. Select Use Template on the one you want.

Configure the settings

Many templates reference account-specific values, so the Use Workflow Template dialog asks you to configure a few settings before it creates the workflow. Depending on the template, these can include the source entity, a field, a cron schedule, a recipient, and the mailbox to send from. If a template sends email, your account needs a shared mailbox first, and the dialog will prompt you to add one. When no settings are required, the template can be created directly.

Create and customize

Select Create Workflow to instantiate the template. The new workflow opens in the builder, where you can adjust the trigger, edit or add actions, and refine any placeholders. As with all new workflows, it starts disabled so you can review it, run a dry run, and enable it when you are satisfied.
